Billing Specialist

Seeking a full-time Billing Specialist. This role presents an immediate opportunity to make a meaningful impact in a thriving legal environment. Hours are 9:00 a.m. – 5:30 p.m.

Key Responsibilities:

  • Processing and reviewing client invoices for accuracy.
  • Managing and processing e-billing, addressing client inquiries and maintaining comprehensive records.
  • Preparing detailed reports for clients and/or management and other duties as assigned.

Requirements:

  • Associate or Bachelor’s Degree in Accounting or a related field of study or 3-5 years of billing experience with heavy emphasis on e-billing, preferably in a law firm setting.
  • Proficiency multiple software applications, as well as Word, Microsoft Excel, etc.
  • Exceptional written and verbal communication skills.

Desired Qualities:

  • Strong understanding of billing software and procedures.
  • Excellent attention to detail.
  • Ability to manage and prioritize tasks.

IP Specialist

Seeking a full-time IP Specialist to work directly with attorneys in managing their dockets. Hours are 8:30 a.m. – 5:00 p.m.

Key Responsibilities:

  • Reviewing and e-filing prosecution documents with the USPTO.
  • preparing client correspondence.
  • managing an independent workload.

Requirements:

  • Minimum of 2 years current patent prosecution secretarial experience.

Desired Qualities:

  • Ability to manage and prioritize tasks.
  • Excellent proofreading and editing skills.
  • High attention to detail.
  • Ability to problem solve and work independently.
  • Strong MS Word skills with fast/accurate typing (minimum 50 wpm).
  • Ability to work in a fast-paced environment.

Patent Agent (Entry-Level) – New Applications Department

Overview

We are looking for a full-time, entry-level Patent Agent to join our New Applications Department. This role primarily involves reviewing and signing staff-prepared USPTO filings. It offers regular, predictable hours (9 AM – 5 PM) with no billable hour requirement, making it an excellent opportunity for individuals returning to intellectual property work or those seeking a structured schedule. If interested, there is also potential to gain experience in other patent prosecution areas.

Key Responsibilities

As a Patent Agent, you will:

  • Review and sign USPTO filings, including but not limited to:
    • New applications
    • Information Disclosure Statements
    • Responses to Notices to File Missing Parts/Requirements
    • Notices to File Corrected Application Papers
    • Preliminary Amendments
  • Respond to oral Restriction and/or Election of Species Requirements
  • Address simple proposed Examiner’s Amendments
  • Work predictable, structured hours (9 AM – 5 PM) with no billable hour requirement

Qualifications

The ideal candidate will have:

  • USPTO Registration Number (required)
  • 0-2 years of experience in patent law or a related field
  • Excellent communication, writing, organizational, and proofreading skills
  • Strong attention to detail
